Copyright note
The appropriate copyright clearance code notice must appear at the bottom of the first page of each paper according to the guidelines set forth in the Cataloging/Copyright Instructions for an IEEE Conference Proceeding. The copyright notice should appear about 1 cm below the left column and should be aligned to the left with the same left margin as the column.
The correct notice to use depends on the country of residence of the authors and is as follows:
- For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright
- For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is: 979-8-3315-3334-2/25/$31.00 ©2025 Crown
- For papers in which all authors are employed by the European Union, the copyright notice is: 979-8-3315-3334-2/25/$31.00 ©2025 European Union
- For all other papers the copyright notice is: 979-8-3315-3334-2/25/$31.00 ©2025 IEEE
For authors using Microsoft Word, the correct position of the copyright note is already available in the IEEE template.
If you are preparing your paper in LaTeX and you are using the IEEEtran document class:
- add the following code before the \maketitle command:
\IEEEoverridecommandlockouts
\IEEEpubid{
\makebox[\columnwidth]{979-8-3315-3334-2/25/\$31.00~\copyright2025 IEEE \hfill} \hspace{\columnsep}\makebox[\columnwidth]{ }
}
- Add the following code after the \maketitle command: \IEEEpubidadjcol
- The example above is for the fourth category of papers, i.e., all other papers, which applies to most authors. Make sure you use the appropriate IEEE copyright notice string, as explained.
- If you experience problems with the above LaTex instructions when using bibtex, and if you are using \usepackage{fixltx2e}, then please remove the \usepackage{fixltx2e}
PDF Check and Upload
- Papers must be both checked for pdf compatibility and uploaded via the new IEEE PDF eXpress tools.

- Be careful: without clicking the “Approve” link, the Publication Chair will not receive your PDF file.
- If you are having problems using PDF Express, please contact the Publication Chair: Fernando Fernandes dos Santos (fernando.fernandes-dos-santos@inria.fr)
Copyright Form
Each author will receive an email with a link to the online Copyright Form wizard, as well as a unique login name and password to access their own copyright forms. This email can take up to a week to be sent.
When an author completes the online copyright transfer process and submits the form, he/she will receive an automated confirmation email letting him/her know that the transfer has been completed successfully.
